Qualifications:

  • Committed follower of Jesus Christ willing to abide in and support the identity and values of the Evangelical Lutheran Church in America (ELCA) and St. Philip’s Lutheran Church
  • A. degree or equivalent work experience
  • Previous work/ministry experience in an office setting
  • Effective oral and written communication skills
  • Excellent computer skills (Office 365, Gmail, Shepherd’s Staff, social networks, )
  • Strong organizational and time management skills
  • Ability to take direction, work independently and collaboratively in a team environment
  • Ability to use office equipment including phone system, copier, fax machine, folding machine, and postage meter
  • Ability to work independently with multiple interruptions
  • Ability to work with confidential information in a conscientious and responsible manner
  • Self-motivated with ability to see tasks and projects through from start to finish
  • Effective customer service skills and an ability to interact confidently with people in a professional manner
  • Ability to anticipate needs and plan accordingly
  • Ability to trouble-shoot and problem-solve minor issues with office equipment, computer hardware or software, and internet
  • General knowledge of basic accounting/bookkeeping practices and standards
  • Education or experience that would provide the background to effectively manage the communications for the congregation
  • Ability to pass required background and agency checks
  • Requires long periods of Stooping, lifting, and standing may also be required

 

 

Primary Responsibilities:

  • General Responsibilities and Expectations
  • Ensure efficient and accurate operation of the church office
  • Provide managerial and direction of church staff, lay leaders, and congregation in support of the mission of Philips Lutheran Church
  • Communications and Publications
  • Manage and proof outgoing communications from the church, including the monthly newsletter, announcements, website, app, outdoor sign, social networks, etc.
  • Ensure that a consistent and accurate image is maintained for the church across all forms of communication in a confidential and professional manner

 

  • Financial Maintenance:
  • Oversee all business transactions relating to the operation of the church
  • Analyze information to ensure that the church operates in the most efficient and economical manner possible
  • Manage human resource and payroll functions and the workers comp payroll audit in April
  • Serve as designated Check Signer, oversee all bank accounts, lines of credit, and credit cards
  • Along with the Treasurer, report financial results to the Executive Committee and the Board of Administration
  • Analyze the financial performance of the church and make recommendations for changes that will improve the performance to the Pastor and the Board
  • Along with staff inputs, develop and recommend an annual operating budget
  • Manage the Endowment Fund
  • Supervise the preparation and distribution of recurring church documents and reports
  • Coordinate and assist with production of mailings and the congregation’s Annual Report
  • Oversee the counting teams, policies and procedures, schedule, and safe locking codes
  • Stay within budgetary limits, and maintain inventory management system

 

  • Facility Maintenance
  • Coordinate with custodial staff and Property and Grounds Committee on immediate and future needs of Philips
  • Oversee contracted, maintenance, and repair services necessary for maintenance, serving as a liaison with church staff and lay leaders as required
  • Coordinate and work with visiting congregations and groups regarding space rental, fees and room arrangements
  • Work with church staff and lay leaders to provide logistical and other support for special events
  • Ensure the organization and cleanliness of the overall church facility
  • Provide quality customer service to church staff, members, visitors, and others
  • Manage the computers and IT systems
  • Maintain confidentiality
  • Coordinate with church staff and lay leaders to ensure background checks are conducted on staff and volunteers working with youth in keeping with church policy
  • Oversee current covid procedures
  • Other tasks as assigned

  • Attend appropriate meetings as needed to fulfill responsibilities and expectations
  • Communicate weekly work and schedule with the Senior Pastor
  • Other duties as assigned by the Senior Pastor
